About Labor Notes

Labor Notes is a media and organizing project that has been the voice of union activists who want to put the movement back in the labor movement since 1979.

Through our magazine, website, books, conferences, and workshops, we promote organizing, aggressive strategies to fight concessions, alliances with worker centers, and unions that are run by their members.

Labor Notes is also a network of rank-and-file members, local union leaders, and labor activists who know the labor movement is worth fighting for. We encourage connections between workers in different unions, worker centers, communities, industries, and countries to strengthen the movement—from the bottom up.

About the position

Labor Notes is seeking an Operations Assistant to help meet the needs of our growing organization. As interest in building a strong, militant labor movement is growing, so is Labor Notes’ program and reach. We are investing in building a team that can design and build strong systems to support Labor Notes’ operations.

The Operations Assistant will work closely with the Operations Coordinator at Labor Notes’ Brooklyn office. Their work will include help carrying out a large volume of day-to-day tasks to support Labor Notes’ programs, including the magazine, online book and merch store, online and in-person trainings, and the biannual Labor Notes Conference.

We’re looking for someone who can keep the train moving while we are actively working on repairing and improving it. This position includes room for growth and leadership in the area of building and shaping Labor Notes’ infrastructure, which requires getting to know the organization’s work deeply and designing solutions for its growing needs. 

The Operations Assistant will be trained by and report to the Operations Coordinator. Labor Notes operates as a collective, organized in teams. All full-time staff are compensated at the rate of $74,050.00/year with benefits.

Job Responsibilities

Manage accounts receivable:

  • Create & track invoices
  • Receive and process checks
  • Receive and process cash/income received from sales at in-person events
  • Track fundraising income
  • Send acknowledgment letters

Manage accounts payable:

  • Track and pay regular organizational bills
  • Receive, track, and pay invoices owed
  • Process reimbursement requests

Bookkeeping:

  • Track and code all income and expenses
  • Upload and enter data from financial transactions
  • Reconcile credit card sales with bank account deposits
  • Manage petty cash

Support program operations: 

  • Manage tracking of magazine subscriptions and creation of monthly mailing list
  • Send magazine renewal letters
  • Track magazine bundles and payments
  • Facilitate bulk orders with special discounts
  • Track and communicate with waiting lists for out of stock items
  • Provide customer service by phone and email

Work with the Operations Coordinator to identify and problem-solve issues with operations systems.
